12.5. Worldox Document IDs are non-standard when saving

Description

Instead of the normal Worldox ID (ie. 00012345.doc), Worldox stores files with a non-standard Doc ID (ie. DW012345.doc)

Background

This is typically caused when the user's workstation does not have access to the network installation of Worldox (Specifically, the "Shared" directory under the Worldox network installation directory).  This is where Worldox stores the 'Next Valid Doc ID' information.  And when the client machine cannot access that information, Worldox will default to creating a local Doc ID, usually containing the user's initials followed by a sequence number (ie. DW012345.doc)

Resolution

  1. Ensure the user's workstation has access to the network installation of Worldox - Typically X:\Worldox\Shared (Where 'X' is your network installation drive)
  2. If there is no problem with access to the network installation of Worldox, check the current "Shared" directory being used by the user's workstation.  To do this, right-click on the Worldox icon in the system tray and select "About Worldox".

If this is not correct, ensure that you are not starting Worldox via a pinned task bar item (Why you shouldn't pin Worldox to your Task Bar).
