1. General Information

1.1. Update Account Passwords through ElectroNeek UI

Background

Trumpet has built an automation workflow for you using ElectroNeek (an automation platform). Your bot uses one or more accounts with a username and password. ElectroNeek needs to stay updated with the latest password(s) for these accounts in order for your automation to perform it's job.

This article describes how to update credentials that ElectroNeek requires. This is necessary when:

- You have received a courtesy email from Trumpet reminding you to update credentials on your system.

OR

- You have changed any password for an account used by your Trumpet automation. 

Note: If you did not receive an email reminder from Trumpet and would like to, please send a request to customersuccess@trumpetinc.com. Please also contact this email if you have questions of any kind!

Preparation

Confirm you have the following:

  • Administrative access to log on to any machine that Trumpet uses for your automation (often 2 machines, DEV and PROD).
  • New passwords, or the ability to change the passwords, from all appropriate systems or applications
    • (See steps below to determine which accounts need to be updated, if you don't already know). 

Note: Do NOT change the Windows login for the bot machines unless you're in contact with Trumpet Support.

Steps

Perform the following steps on EACH Bot Machine that is assigned for Trumpet automation:

  1. Log in to the Bot machine using the Trumpet user credentials
  2. If not already complete, update the OLD password on the indicated system and reserve a copy of the NEW password.
  3. Right Click on the ElectroNeek Bot Runner icon in your System Tray and select Settings
  4. Click on the menu item > Credentials.
  5. Edit the credential item (pencil and paper icon, shown below). This will open an "Add New Password" window. 
  6. Input the new password, then click ADD to apply the changes
    • Do not adjust any field except the Password field
    • Note: the password field will always appear blank, because it stores passwords securely and will not display them to users.
  7. Repeat Steps 4 and 5 for all passwords that need to be updated.
  8. Close out the Bot Runner settings window and proceed to any additional bot machines, following all steps to update all appropriate passwords.

1.2. System Requirements: Automation and ElectroNeek

 

Trumpet requires two workstations for this project (these can be virtual machines):

  • Development Workstation
  • Bot Workstation

 They must meet the Minimum System Requirements found below:

 

Operating System

Preferred
Windows 10 or 11
Windows Server 2019+

Windows User Account

Must not be a guest account; administrator access is required at all times, or the Trumpet User account is enrolled in any Just In Time Admin Access (JIT) programs you have in your organization.

Network Access

Inbound from Internet

  • Port 443 for (Connect Wise Remote Control)
  • Protocol HTTPS

Outbound to Internet

  • Port 80/443 for sending metrics
  • Protocol HTTP/HTTPS

The workstations should have a continuous internet connection.

  • Minimum internet connection speed: 256 KB/s.
  • Maximum (slowest) ping to electroneek.com: 100 ms.

Updates and Maintenance

Throughout the life of your automation, you are responsible for performing all workstation maintenance and updates according to your company’s schedule

Passwords

Trumpet will keep the windows password updated if needed. 

You are responsible for keeping the non-windows accounts updated in your systems and for updating any password changes into the Bot configurations.  Trumpet will provide training on updating the Bot machine. Instructions for updating passwords can be found HERE. Trumpet will provide training on updating the Bot machine.

We highly recommend using a windows password that does not expire (we will set pw to be 20+ characters).

Software

  • The user account you provide needs access to install our software and tools on both machines you provide.  You will need to license and install any software that your organization requires.  A common example is Microsoft Office.
  • We require that the Bot machines be able to maintain a consistent, unlocked RDP session between them.  This will allow the Bot to interact with the GUI for the Windows OS.
  • If we are doing any automation with any browser based application, Chrome must be installed with Developer mode allowed.  Our Electroneek Chrome Extension must be enabled if you block browser extensions.
  • We will need all policies in your IT systems to allow Chrome Extensions and Chrome Developer Mode to be enabled.  Some EMR systems turn off Chrome Developer Mode, and we will need you to add an exception.
  • Trumpet will install additional software on your machine including Electroneek, python, VS Code, and git.

Anti-Virus

We require that the following folders be excluded from real time antivirus monitoring:

  • C:\Program Files\ElectroNeek Studio Pro\Loader\ElectroNeek-loader.exe​​
  • C:\Program Files\ElectroNeek Studio Pro\Robot\ElectroNeek Bot Runner.exe
  • C:\Program Files\ElectroNeek Studio Pro\Robot\win-agent-selectors\ElectroNeek-Robot.exe
  • C:\Program Files\ElectroNeek Studio Pro\ElectroNeek Studio Pro.exe
  • C:\code
  • C:\TrumpetRPA

Hardware configuration

Both the development and robot workstations require identical screen resolution.  Utilize hardware that allows for the same screen resolution

Trumpet Remote Access

Ongoing access to these machines is required in order for our team to ensure your automation solutions are running smoothly, and to provide any necessary support. When the bot machines are ready, our team will coordinate with you to set this up.

1.3. Trumpet Billing Guide

Below is a guide with Frequently Asked Questions about your Trumpet billing and subscription services. Should you have additional questions, please reach out to the Customer Success team at customersuccess@trumpetinc.com. We’re here to help!

What are Trumpet’s Subscription and Renewal Terms?

Renewal dates typically fall on the first of the month and are determined by your subscription start date and renewal frequency.

The subscription renewal term is how long you’ve agreed to subscribe to the service.  Subscriptions are typically available in 1-5 year terms.  You will be notified by invoice or payment reminder email prior to renewing for another subscription term.  Payment of your renewal invoice constitutes acceptance of the next renewal term.

With certain billing options, Trumpet offers the ability to pay for your subscription in monthly or quarterly increments.  Incremental subscription billing does not change the terms of your subscription renewal.

For example, if you have a 1-year subscription renewal, you may opt to pay for your subscription in equal quarterly increments. If your subscription begins on Jan  1st, your incremental subscription billing dates will be Jan 1st, April 1st, July 1st and Oct 1st.  Your subscription will renew Jan 1st of the following year for another 1-year term.

What are Trumpet’s Billing Options?

You can choose your preferred method for paying your subscription.  All options provide an email receipt to your billing contacts upon payment.

Automatic Billing

We offer and highly recommend automatic billing.  You can securely link a checking account or credit card to have your Trumpet subscription automatically charged each billing period.

With automatic billing, you can choose between 3 billing frequencies:

  • Quarterly (recommended)
  • Monthly
  • Annual

Your billing contacts will receive a billing reminder email approximately 30 days prior to your subscription billing date.

Your payment method on file will be automatically charged 15 days prior to your subscription billing date.

Invoicing

If you prefer not to be automatically billed, we will send your billing contacts an electronic invoice 30 days prior to your subscription renewal date.  The invoice is payable within 15 days.  Invoices can be paid via check, credit card, or ACH transfer.  Invoices not paid by the due date will receive reminder emails and may be subject to late fees per the terms of your Client Agreement.

Your billing frequency will be annual.  Note that monthly and quarterly payments are not offered with this option.
