16.10. Column Headers - Global Templates vs. User Customization

Column headers are a bit tricky to understand and since Worldox added the new customization area, they've added an additional layer of complexity as well.

So, let's start with a discussion about column headers:

  • Column headers can either global or individual.   Only a person with Power User Rights has the ability to save Global column headers (individuals can save them for their own use) and column headers can be either saved for future use or associated with a Find Template.
    • Saved for Future Use — Normally, when a user performs a search for particular documents, they want the "standard" column header to come up.  However, when performing certain operations, a user might want to view the document lists differently.  Therefore, you can choose to save a column header for those, and revert to it on those operations. 
      • Example:  From time to time I need to edit a client code.  When I have to do that, I need to have the "Cabinet Name" listed in my column headers.  I don't want that column taking up screen real estate on a "normal" search since I do this rarely.  So I can save this as a column header and load it when I need to do this operation while I'm editing codes.
    • Associated with a Find Template — Whenever the search is executed, that associated column headers will be displayed. 
      • Example:  The  way I think about this is any time I click "this" Virtuoso button, or "this" button bar button, I want "this" list of columns to appear.  I have a Virtuoso button for "Training Materials".  When I select that button, I want certain column headers to come up based on the information I need to see for that search.
    • So, how do the two play off each other when there are global and individual Column Header Templates for one button? 
      • Saved for Future Use doesn't apply here.  Load the column header template whenever you like.  If you have Power User Rights, you can save column header templates that any one can see.  If you don't, only you can see them in the list.
      • Associated with a Find Template — If a Power User associates a Column Header with a Find template, they can do this for "Only Me" or for "Everyone".  If the Power User says "Everyone", this is the column header that will appear any time a user clicks on that button or uses that find template — UNLESS another user creates a template and associates it with that button for "Only Me".  If that's the case, then the "Only Me" will override the "Everyone" template but only for that user.  Even if the Power User changes the "Everyone" template, the "Only Me" template will overrule it if a user has set it themselves.
  • Now let's talk about Customizing by "Making my favorite View"
    • This is more about "how the screen looks" than it is about "column headers" (do you want a default tab from the bottom, the preview window on the right to always be showing, etc), but it's also about column headers when there are no column header templates applied.  So, what the heck does this mean?
      • If you create a Find Template and do not associate a column header with that template, then the "Favorite View" is the view that will be displayed, including the columns that were added when the Favorite View was created, the tabs to the left, right and bottom of Worldox, the Properties lines, the Striped alternate lines, etc.
        • If the Power User says "Everyone" when saving the view, this is the view will appear any time a user clicks on a button that has not been assigned a column header UNLESS another user creates a view and associates it with that button for "Only Me".  If that's the case then the "Only Me" will override the "Everyone" template, but only for that user.  Even if the Power User changes the "Everyone" view, the "Only Me" view will overrule it if a user has set it themselves.
      • If you create a Find Template and associate it with a column header, and have a favorite view things get super complicated...  :)
        • The Columns that will be displayed will be those in the column header template.  (If the Power User says "Everyone" this is the column header that will appear any time a user clicks on that button or uses that find template, UNLESS another user creates a template and associates it with that button for "Only Me".  If that's the case then the "Only Me" will override the "Everyone" template but only for that user.  Even if the Power User changes the "Everyone" template, the "Only Me" template will overrule it if a user has set it themselves).
        • The Tabs, etc. that you can customize will be displayed as follows:  If the Power User says "Everyone" when saving the view, this is the view will appear any time a user clicks on a button that has not been assigned a column header UNLESS another user creates a view and associates it with that button for "Only Me"  If that's the case then the "Only Me" will override the "Everyone" template but only for that user.  Even if the Power User changes the "Everyone" view, the "Only Me" view will overrule it if a user has set it themselves.

Here's a quick tip on what templates/settings trump other templates/settings:

  • "Make this my favorite view" will control column headers/settings ONLY WHEN there are NO Column Templates (public or private) defined for the type of search you're performing.
  • If a PUBLIC column template is defined (for the search you're running) then it will trump your "favorite view".
  • If a PERSONAL column template is defined (for the search you're running) then it will trump your "favorite view" AND any public column template settings.

In other words: Personal Template > Public Template> Favorite View Settings (set using the gear/customize icon)
