11.4. Searching for Orphaned files in Worldox

Background

Worldox assigns codes to documents, such as the client name or doctype.  Worldox has lookup tables to allow the user to easily pick the codes from a list (and to assign descriptions to those codes).  On occasion, a code can be assigned to a document that is not in a lookup table, so the document will not be readily searchable. We refer to this as an "orphaned file." The most common cause of this situation is if a user deletes or edits a code from the lookup table at some point after the code has been assigned to documents.

Once you've found the orphaned files (using the steps below), you'll need to re-profile them to get the proper field codes re-assigned to them. See here for how to Edit the Profile of Multiple Documents


Procedure

  1. Select the New Search button and select the cabinet for which you'd like to search for orphaned files

  2. Leave all fields empty in order to search for *all* documents in this cabinet
  3. Run the Search
  4. Add column headers for the Description of the field(s) that may be orphaned (e.g. bring up the Client Description column if looking for files with orphaned clients):
    • To add column headers, left-click in the grey area next to the first column



    • Select Cabinet Fields > then select the applicable field description



  5. Sort the description field in an "Ascending" manner (there will be a blue triangle on the field. The "tip" of the triangle will be pointing upward)
  6. Scroll all the way to the bottom of the search results screen.  Anything "orphaned" will be at the bottom of the list with a missing Desc (in this example, there are two documents with orphaned Client Codes)
