14.1. Adding Account Codes in Worldox adds them to all clients

Account Numbers in the Accounts cabinet (or in the Insurance cabinet, if applicable) are showing up for "all" clients, including the one that I wanted, and there is no "Client Code" or "Description" next to them.

 

Background

This is typically caused when you add accounts while in the process of *Searching* for documents.  In order to add accounts properly linked to clients, you must do so when either 1) saving a document or 2) editing the Profile of a document.  This will ensure that the table entry gets properly linked to the tables.

Resolution

  1. Add an Account Code properly by opening any document and do a File > Save As and add the code entry in this manner.  You need *not* complete the save, you simply need to access the tables in the process of saving a document in order to link the codes properly.
  2. You can also select any document in Worldox and do an "Edit Profile".  Again, you need not complete the process of editing a document in order to link the codes properly.

If you have an Account Code that is showing under *all* clients you will need to resolve this as follows:

  1. Grab a screenshot or jot down the Account Code and Account Description of the un-linked account(s).
  2. Delete the code(s) that is not properly linked by highlighting it and selecting "Delete" (be sure to perform step 1 before deleting it!).
  3. Add the account properly to the client while in the process of saving a document using the code & description you've noted in step 1.

    Since you'll be using the same code, there is no need to re-profile the client's documents.
